Privacy Policy

1. Who we are

PlanLeads is a trading name of PLANLEADS LIMITED, a company registered in England and Wales (company number 17196280), registered office 12 Iris Avenue, Glen Parva, Leicester, England, LE2 9JJ. References to "we", "us", or "our" in this policy refer to PLANLEADS LIMITED.

We are the data controller for the personal data described below. You can contact us at support@planningleads.uk.

2. Data we collect

When you sign up, we collect:

• Full name and company name
• Email address
• Base postcode
• Job type and chosen postcode districts
• Business details used on the leaflets we post on your behalf — contact phone number, optional website, company logo and a short company description
• Subscription plan and payment details (processed by Stripe — we never see or store your card details)

We also collect usage data such as which leads you have viewed and any notes or status updates you add in your account dashboard.

We use planning application data from local council planning registers — public information under the Open Government Licence v3.0. We store only: address, project type, application status, and submission date. We do not store names, emails, or phone numbers of planning applicants. As part of the service we post a leaflet, branded with your business details, to the property address of each matched planning application; to do this we share that property address with our print-and-mail provider (Stannp) solely to produce and deliver the leaflet.

3. How we use your data

• To deliver your monthly leads update by email
• To print and post branded leaflets to the properties of your matched leads, via our print-and-mail provider (Stannp)
• To match planning applications to your preferences and serve your account dashboard
• To manage your subscription and process payments via Stripe
• To send transactional account emails (welcome, account changes, deletion confirmation)
• To show available territories on an interactive map during signup (via Mapbox)

Leads are matched to you by the postcode districts you claim, not by a radius around your base postcode. Your base postcode is stored on your account and printed on your leaflets. Separately, we use Postcodes.io to geocode the location of public planning applications (not your personal data).

4. Legal basis (UK GDPR)

We process your personal data under Article 6(1)(b) — performance of a contract (to deliver the service you subscribed to) — and Article 6(1)(f) — legitimate interests — of UK GDPR. Planning application data is reused under the Open Government Licence v3.0.

5. Third-party processors

To operate the service we rely on carefully selected third-party providers, each covered by a Data Processing Agreement (DPA) and, where applicable, appropriate safeguards for international transfers. These fall into the following categories:

• Cloud hosting, database & authentication — running the website and storing your account data (EU region)
• Payment processing — subscription billing (card details are handled entirely by the payment provider; we never see or store them)
• Email delivery — transactional and leads-update emails
• Print & direct-mail fulfilment — producing and posting the leaflets we send to matched properties on your behalf
• Mapping & address geocoding — the signup territory map and locating public planning applications
• AI text classification — categorising planning application descriptions (public council records; no personal data transmitted)
• Website analytics — understanding site usage, loaded only if you accept cookies (see Section 8)

6. Data retention

We retain your account data for as long as your subscription is active, and for up to 12 months after cancellation for legal and accounting purposes. After 12 months, your data is permanently deleted. You may request deletion at any time (see Section 7). Billing and payment records (such as invoices) held by our payment processor, Stripe, are retained for the period required by law — typically up to 6 years for financial record-keeping — even after your account is deleted.

7. Your rights

Under UK GDPR you have the following rights:

• Access — request a copy of the data we hold about you
• Portability — download your account data as JSON from Account Settings
• Erasure — permanently delete your account and associated data from Account Settings, or by emailing us (billing records held by Stripe are retained as described in Section 6)
• Rectification — request correction of inaccurate data
• Objection — object to processing based on legitimate interests

8. Cookies

We use essential cookies — required for authentication and to keep you logged in — which are always active. We also use analytics cookiesvia Google Tag Manager to understand how the site is used. Analytics cookies are only set if you click "Accept" on our cookie banner; if you decline, no analytics cookies are loaded. We do not use advertising cookies. You can change your choice by clearing your browser's site data for this site.

9. Contact & complaints

For privacy-related enquiries, email support@planningleads.uk. If you are unsatisfied with our response, you have the right to lodge a complaint with the Information Commissioner's Office (ICO).

10. Homeowners & leaflet recipients

This policy covers our clients (the building firms who subscribe). If you received a leaflet from us because a planning application was filed at your property, a separate privacy notice for leaflet recipients explains what data we use (your property address from the public planning register — no name held), our legal basis, and your rights. To stop receiving leaflets, opt out at planningleads.uk/no-mail. The councils and licences we source planning data from are listed on our data sources page.
